Cemetery & Crematorium Assistant / Admin needed in Slough, £14.02ph PAYE – Reference: RQ1488576
To assist with all administrative work at the crematorium, and support chapel and customer service duties to ensure that the highest standards of care are delivered to our customers.
Fully Office based – Monday to Friday 8am to 4pm
Responsibilities;
1. Take bookings for cremation and burial services, ashes burials and scatterings.
• The cremation schedule and burial diary are held in the office (not computerised).
• Check staff availability to perform services.
• Check previous deceased information against system or historical records (held here).
• Sale of memorial in person and over the telephone.
• Record music requirements (and visual tributes when installed).
• Show bereaved relatives and other visitors the chapel and other facilities.
• Escorting families around the gardens of remembrance and discuss memorial options
• Assist families to complete memorial forms
• Renewal of memorial lease payments and update system.
• Prepare routine correspondence concerning commemorative literature, the renewal of memorial leases and cremated remains.
2. Process statutory cremation forms, collate and check details and arrangements against original booking.
• Cremation paperwork (confidential) is received in paper format, check against the original booking and present to the Medical Referee for final sign-off.
• Contact Funeral Directors regarding pace maker removal, or anomalies in paperwork.
• Enter data accurately into CAS (in-house system) for each cremation; data is taken from the cremation paperwork to create daily work schedules.
• Check scattering and burial plot areas.
• Paperwork is handed to a senior person to check information is correctly recorded.
• Print daily worksheets, lists and cremation authorities.
• Senior member of staff signs the authority to cremate.
• Display daily schedule in public areas.
3. Record the collection of cremated remains and file with original paperwork.
4. Enter data accurately into CAS for each burial on a daily basis.
• Ensure that fees are paid in accordance with the regulations and current price list.
• Receipt payments and record in CAS
• Burial paperwork is received daily, checked against the original booking, coffin sizes recorded and prepared for grave allocation.
• Paperwork received relating to the re-opening of existing graves have signatures checked against original documentation which is kept on-site.
• Deeds are produced.
• Checked and signed by senior staff member.
• Deeds posted
• Paperwork filed.
5. File forms, certificates and statutory documents relating to burials and cremations.
• Statutory requirement for cremation paperwork to be kept for 15 years.
• Statutory requirement for all burial paperwork to be kept.
6. Respond to enquiries from Funeral Directors, public, ministers, stone masons, memorial suppliers by telephone, email and face to face in reception.
• This could involve retrieving information from burial or cremation paperwork.
• Checking signatures against original paperwork or official ID.
7. Respond to enquiries relating to existing and new graves in the cemetery.
• Visit the cemetery
8. Response to enquiries relating to masonry work to new and existing graves in the cemetery.
• Visit the cemetery
9. Weekly collection, receipt and banking of fees.
10. Deal with all incoming and outgoing post and carry out other miscellaneous tasks connected with the administration of the crematorium.
11. Service face to face enquiries at the Crematorium office reception during office opening hours (as permitted by any prevailing COVID restrictions).
12. Support Cemetery & Crematorium Attendants in servicing of chapel duties as required.
13. Any other duties pertaining to the Cemetery and Crematorium Service as required by the Cemetery and Crematorium Manager.
